Overview

The Microsoft Teams integration brings the Projan bot into your Teams workspace. Start AI-guided PRD conversations directly in Teams channels - the bot creates a dedicated channel per conversation, responds to mentions and messages, and shares a link back to the full document in Projan.

Prerequisites

• A Microsoft 365 subscription with Teams
• An account with Global Administrator or Application Administrator role in your Microsoft Entra ID tenant (admin consent is required once per tenant)
• Projan team admin account

How It Works

Connection uses an admin consent flow: a tenant admin grants consent once, linking your Microsoft tenant to your Projan team. After that, any team member can use the bot in Teams - no individual sign-in required.

Setup Steps

1. In Projan, go to Settings > Integrations > Microsoft Teams
2. Click Connect - this opens Microsoft’s admin consent screen
3. Sign in with a tenant admin account and click Accept
4. Install the Projan bot app in your Teams workspace
5. Mention @Projan in a channel to start a conversation

Permissions Requested

Admin consent grants application-level Microsoft Graph permissions used to:

• Create and manage the dedicated channels the bot works in
• Read and send messages in those channels
• Generate share links for created documents

Activity from tenants that have not been linked to a Projan team is rejected.

What Data is Accessed

• Messages sent to the bot or in bot-managed channels
• Channel and tenant metadata (identifiers, display names)

Data Storage

• Tenant ID and display name on your Projan team record
• Conversation metadata linking Teams channels to Projan conversations
• No user passwords or personal tokens are stored

Disconnecting

1. In Projan: Go to Settings > Integrations > Microsoft Teams > Disconnect
2. In Microsoft: Remove the Projan app under Enterprise applications in the Microsoft Entra admin centre to fully revoke consent

Troubleshooting

Issue	Solution
”You need admin approval”	The signed-in account lacks admin permissions; ask your IT administrator to complete consent
Bot replies “not connected”	The tenant is not linked to a Projan team - reconnect from Projan settings
Bot not responding to mentions	Ensure the Projan app is installed in the team, not just the channel
Connection shows as “Error”	Consent may have been revoked in Entra; disconnect in Projan and reconnect
