Overview
The Microsoft 365 integration gives your team enterprise-wide access to Teams meeting transcripts, OneDrive and SharePoint files, and Microsoft To Do / Planner tasks - all from within Projan. Unlike individual Microsoft integrations that connect one user at a time, this uses an admin consent flow so your IT admin grants access once and every team member can pull context from their own meetings, documents, and tasks.
Prerequisites
- A Microsoft 365 Business or Enterprise subscription
- An account with Global Administrator or Application Administrator role in your Microsoft Entra ID (formerly Azure AD) tenant
- Projan team admin account
How It Works
When you connect Microsoft 365, Projan asks your organisation’s admin to grant consent for specific read-only permissions. Once approved, Projan can access data across your tenant on behalf of any team member - no individual sign-in required.
Step-by-Step Setup
Step 1: Start the Connection in Projan
- In Projan, go to Settings > Integrations and find Microsoft 365.
- Click Connect. This opens a Microsoft sign-in page in a new window.
Step 2: Sign In with Your Admin Account
- Sign in with your Microsoft 365 admin account (the one with Global Administrator or Application Administrator permissions).
- If you are already signed in to Microsoft, you may skip this step - just make sure the correct admin account is shown.
Step 3: Review and Grant Permissions
- Microsoft will show a consent screen listing the permissions Projan is requesting. These are read-only and include:
- Read calendars - to access meeting details and transcripts
- Read files - to access OneDrive and SharePoint documents
- Read tasks - to access Microsoft To Do and Planner tasks
- Check the box for Consent on behalf of your organization.
- Click Accept.
Step 4: Wait for the Redirect
- After clicking Accept, Microsoft will redirect you back to Projan.
- The Microsoft 365 integration should now show as Connected on your integrations page.
- If something went wrong, you will see an error message - check the Troubleshooting section below.
Step 5: Verify the Connection
- Go to any conversation in Projan and try adding a context source.
- Select Microsoft 365 and choose a type (meeting, file, or task).
- If data loads successfully, the integration is working.
What Gets Connected
Admin consent grants Projan access to data across your entire Microsoft 365 tenant. When a team member imports context, Projan accesses their specific data (their meetings, their files, their tasks) using their email address - not everyone’s data at once.
Security Notes
- Projan only requests read-only permissions. It cannot modify, delete, or send anything on behalf of your users.
- Admin consent can be revoked at any time from the Microsoft Entra admin centre under Enterprise applications.
- No passwords or tokens are stored from your users - Projan uses app-level credentials granted during admin consent.
- Data is accessed over encrypted connections and is not stored permanently - it is fetched on demand when a user imports context.

Once connected, team members can import context from:

Revoking Access
If you need to disconnect the integration:
- In Projan: Go to Settings > Integrations, find Microsoft 365, and click Disconnect.
- In Microsoft: Go to the Microsoft Entra admin centre, navigate to Enterprise applications, find the Projan app, and delete it. This fully revokes all permissions.
Troubleshooting
| Issue | Solution |

| ”You need admin approval” | The account you signed in with does not have admin permissions. Ask your IT administrator to complete the setup. |
| ”Consent could not be completed” | Try again in a private/incognito browser window. Cached sessions can sometimes interfere. |
| ”No data found” after connecting | Ensure the correct admin account was used and that users have active Microsoft 365 licences. |
| Connection shows as “Error” | The admin consent may have been revoked in Entra. Disconnect in Projan and reconnect. |
| ”Tenant not found” | Your organisation may not have a Microsoft 365 subscription. This integration requires a business or enterprise plan. |
