Overview

The Google Workspace integration gives your team access to Google Meet transcripts, Google Docs, Drive files, and Google Tasks - all from within Projan. A Google Workspace administrator installs the Projan app for your organisation, and then any team member can import context from their own meetings, documents, and tasks without additional setup.

Prerequisites

  • A Google Workspace account (Business, Enterprise, or Education - not a personal Gmail account)
  • An account with Google Workspace administrator access to install the app
  • A Projan team with an active subscription

How to Connect

Step 1: Start the Connection in Projan

  1. In Projan, go to Settings > Integrations and find Google Workspace.
  2. Click Connect. This opens a Google sign-in page in a new window.

Step 2: Sign In with Your Admin Account

  1. Sign in with your Google Workspace admin account.
  2. If you are already signed in to Google, make sure the correct admin account is shown - click your profile picture in the top right to switch if needed.

Step 3: Review and Approve Permissions

  1. Google will show a consent screen listing the permissions Projan is requesting:
    • View your calendar events (read-only) - to access meeting details and find transcripts
    • See your files on Google Drive (read-only) - to read documents and files
    • See and edit your Google Docs - to read and update document content
    • Create, read, update, and delete your tasks - to sync tasks with Google Tasks
  2. Click Allow.

Step 4: Done

  1. Google redirects you back to Projan.
  2. The Google Workspace integration should now show as Connected on your integrations page.

What Permissions Are Granted

Projan requests four scopes:

Projan has read-only access to Calendar and Drive. For Google Docs and Google Tasks, Projan can read and write content. There is no access to Gmail, Contacts, or admin settings.

Once connected, team members can import context from:

Security Notes

  • Projan has read-only access to Calendar and Drive. It has read and write access to Google Docs and Google Tasks to enable syncing content back.
  • No passwords are stored - Projan uses industry-standard OAuth 2.0 tokens.
  • Access can be revoked at any time from Projan (Settings > Integrations > Disconnect) or from the Google Account permissions page.
  • Data is fetched on demand when a user imports context. It is not stored permanently.

Revoking Access

If you need to disconnect the integration:

  1. In Projan: Go to Settings > Integrations, find Google Workspace, and click Disconnect.
  2. In Google: Go to myaccount.google.com/permissions, find the Projan app, and click Remove Access.

Troubleshooting

IssueSolution
”You need admin approval”The account you signed in with may not have the required admin permissions. Ask your Google Workspace administrator to complete the setup.
Consent screen not appearingTry using a private/incognito browser window. Cached sessions can sometimes interfere.
”No data found” after connectingMake sure the account you connected has Google Meet, Drive, and Tasks enabled in your Google Workspace subscription.
Connection shows as “Error”The OAuth token may have expired or been revoked. Disconnect in Projan and reconnect.
